Job Overview

The Vice President, Operations & Client Services serves as the senior executive responsible for overseeing the day-to-day administrative, operational, and people functions of the firm's growing holistic financial planning practice. This role offers a clear growth path to Managing Partner .

Reporting directly to the President, who brings more than 25 years of experience in asset and wealth management, the Vice President ensures the firm operates efficiently, compliantly, and at a world-class service level. While the President functions as the public face of the firm and manages external communications, the Vice President runs the business internally, builds the team, and executes the firm's operational strategy.

As a result, this position requires strong leadership, analytical, managerial, and communication skills, along with a working knowledge of financial planning operations.

General Responsibilities

This role plays a critical leadership function within the financial planning practice. Specifically, the Vice President will:

  • Lead, coach, train, and counsel all team members across the organization.
  • Oversee high-level human resources responsibilities, including performance management and employee development.
  • Analyze existing workflows and systems, then implement improvements to enhance quality, productivity, and efficiency.
  • Apply working knowledge of financial planning practices to support operational excellence and growth.

Major Duties and Responsibilities

  • Firm Operations & Strategy

    • Manage all firm operations in an efficient and cost-effective manner.
    • Continuously improve operational systems, processes, and controls using industry best practices.
    • Assist leadership in formulating and executing strategic and operational objectives.
    • Manage relationships with key vendors and service providers as needed.
  • Compliance & Risk Management

    • Assist in ensuring ongoing compliance with Broker-Dealer, RIA, and insurance company requirements.
    • Support adherence to internal policies, regulatory standards, and operational controls.
  • People Leadership & Human Resources

    • Recruit, hire, train, coach, mentor, and supervise all staff members.
    • Establish employee goals and oversee annual performance evaluations.
    • Implement employee recognition initiatives while managing disciplinary actions and terminations when necessary.
    • Communicate job expectations clearly by planning, monitoring, appraising, and reviewing performance on a consistent basis.
  • Client Service & Office Management

    • Implement office practices that deliver world-class client service.
    • Continually evaluate and enhance the client experience by identifying opportunities for improvement.
    • Provide backup support for team members as needed to ensure seamless service delivery.

Qualifications

The ideal candidate will bring the following experience and credentials:

  • 5+ years of extensive experience in a financial planning or financial advisory environment.
  • Deep understanding of the operations of a financial planning firm.
  • Working knowledge of:
    • Fixed and variable annuities
    • General investments
    • Managed accounts through an RIA
  • Proven ability to manage teams, grow a business, and oversee daily operations.
  • Extensive experience with financial advisory firm practices, policies, and procedures.
  • Strong problem-solving skills and the ability to operate independently.
  • Bachelor's degree required; MBA and industry certifications preferred.
  • Experience working with Broker-Dealers, RIAs, and insurance companies.
  • High-level understanding of small business HR needs, including state and federal employment requirements.
